ACADEMIC DATA RELEASE TERMS AND CONDITIONS
1. PURPOSE OF THE SERVICE
Delta State University Academic Verification Service is provided only for legitimate academic verification purposes, including employment screening, admission, professional registration, licensing, regulatory checks and authorised background verification.
2. ACCESS TO THE SERVICE
Only registered users who have completed the required payment and whose verification requests have been reviewed and approved may receive an academic verification report. Account creation and payment do not prove that a requester or organisation is genuine, authorised or entitled to receive student information. Delta State University may review, reject, suspend, cancel or investigate any request considered suspicious, misleading, unlawful or unauthorised.
3. INFORMATION THAT MAY BE RELEASED
An approved verification report may contain information reasonably necessary to confirm the identity and academic record of a student or alumnus, including the full name, passport photograph where available, matriculation number, faculty, department, programme, course of study, student or graduation status, year of admission, graduation date or year, qualification awarded and class of degree where available and approved.
The report shall not ordinarily disclose unrelated information such as residential address, personal telephone number, personal email address, marital status, guardian or next-of-kin details, payment details or other records that are not necessary for academic verification.
4. PERMITTED USE
The requester shall use the information only for the purpose stated in the verification request. The report must not be altered, falsified, sold, published online, uploaded to social media, added to a public database, shared with an unauthorised person or used for a different purpose.
The service is not a public student directory. Users must not browse, harvest, collect or compile lists of students.
5. ACCURACY, VARIATIONS AND CORRECTION
Each verification report reflects the information contained in the official records available to Delta State University as at the date of issue. Although reasonable care is taken, clerical errors, historical-record errors, incomplete records, incorrect source data, data-entry mistakes or record-migration discrepancies may occasionally occur.
Where a student, alumnus, requester or recipient notices an error, inconsistency or variation between a verification report and another academic document, the person must promptly contact the Office of the Registrar and provide details of the disputed information. The recipient must not rely on disputed information or make a final employment, admission, licensing, disciplinary or other adverse decision until Delta State University has been given a reasonable opportunity to investigate and respond.
Delta State University may review, correct, update, withdraw, cancel or reissue a verification report where an error, omission, outdated record or variation is confirmed.
6. LIMITATION OF LIABILITY
To the maximum extent permitted by applicable law, Delta State University shall not be liable for a loss or consequence arising solely from a clerical, historical, data-entry or record-migration error that the University was not aware of at the time of issue; incorrect or incomplete information supplied by the requester; reliance on information that was disputed without first contacting the Office of the Registrar; failure to allow the University a reasonable opportunity to investigate and correct a reported variation; alteration or falsification of the report; unauthorised sharing or publication; use for an undeclared purpose; or reliance on an expired, withdrawn, cancelled or superseded report.
Where a genuine error is reported, the University may investigate and, where appropriate, correct, withdraw or reissue the report. Nothing in these Terms excludes liability for fraud, deliberate misconduct, gross negligence, unlawful disclosure of personal information or any responsibility that cannot lawfully be excluded.
7. REPORT AUTHENTICITY
A verification report may contain a unique request reference and QR code. The recipient should scan the QR code or use the official University verification portal before relying on the report. A report should only be treated as authentic where the official portal confirms that it is valid. An altered, withdrawn, cancelled, superseded or invalid report must not be relied upon.
8. SELF-DECLARED REGISTRATION DETAILS
The name, username, email address, telephone number, organisation name, organisation type, registration number and address supplied during registration are self-declared by the requester. Unless Delta State University expressly confirms otherwise, creating an account, accepting these Terms or making payment does not mean that the email address, person or organisation has been independently verified, endorsed or approved by the University.
The person creating the account represents that all registration details are true and that the person has authority to act for the named organisation. Supplying a false identity, false organisation, misleading registration number or organisation details without authority is a material breach of these Terms and may result in account suspension or termination, request cancellation, preservation of evidence and referral to the appropriate authority.
9. ACCOUNT SECURITY AND MISUSE
The user is responsible for activity performed through the registered account and must protect the login credentials. Delta State University may suspend, restrict or permanently terminate an account connected with false registration information, unauthorised requests, suspicious searches, forged documents, account sharing, report alteration, unlawful disclosure or breach of these Terms. Suspected fraud or unlawful activity may be reported to the appropriate authority.
10. RECORDS OF ACCEPTANCE
Delta State University may retain an audit snapshot of the name, username, email address, telephone number, organisation details and registration number supplied when these Terms were accepted. The University may also retain the Terms title and version, acceptance date and time, IP address and relevant technical information for audit, security, fraud prevention, dispute resolution and compliance purposes. These records do not amount to independent verification of the information supplied.
11. ACCEPTANCE AND PERSONAL RESPONSIBILITY
By accepting these Terms and creating an account, the requester confirms that the registration information is accurate, the requester is authorised to act for the named organisation, requests will be made for genuine and lawful purposes, verification results will be used only for the declared purpose, reports will not be altered or shared unlawfully, and any variation will first be reported to the Office of the Registrar for investigation.
The requester accepts responsibility for loss, claims or regulatory consequences arising from false registration information, impersonation, lack of authority, misuse of the account or unauthorised use or disclosure of a verification report, to the extent permitted by applicable law.
